In this article, we focus on how you can work with administration for your Media Portals, login for Media Portal users, which fields can be visible in the portal, etc.
Where can I find the settings for our Media Portal?
Click on the Portal icon in the sidebar.
An overview of all your Media Portals will appear.
To edit the settings of a portal, click on Settings for the respective portal.
The settings menu contains three parts:

Basic settings (General)

Name: The name corresponds to the name in the Mediaflow platform and can, of course, be changed. This does not affect the portal's name externally. The name is there to help you easily find the portal in the list of "groups" when you choose which folders should be displayed on the portal.

Title: The title corresponds to what is in the browser tab when the portal is opened.

Description: This text will be added to the head of the HTML document as a meta description tag.

Portal URL: This is the URL that the portal is linked to (contact the support team if you would like to change it).
Checkboxes:

Show "Recently added" in the folder tree: This option determines whether the "Recently added" folder should be visible among the other folders that you display on your portal.

Allow users to download original files: The visitor is allowed to download files in original format. If you don't tick this option, visitors can only download images with the preset download formats from the portal. It also means that files other than images cannot be downloaded unless you have this option ticked.

Require usage reporting for all downloads: The visitor must report what the files will be used for when downloading. This can then be tracked in Mediaflow under the "usage" tab.

Allow Web Shares: With this ticked, simple links for web shares can be created from the Media Portal.

Allow users to download orginal files in Web Shares: With this checked, it is possible to download original files in a link created from the portal. If you do not check this option, only thumbnail images will be downloaded. (This does not apply to thumbnail images for .PDF/.MOV/.MP4/.AI. This may vary slightly depending on the formats you upload). Note that the option is not ticked by default!

Show archived folders: If you share archived folders, they will be visible in the media portal even if they are archived in the Mediaflow platform.

Show the number of uses on the thumbnails: You can also show the number of views on the thumbnails in the Media Portals.

Enable users to copy video embed code in the portal: If you want to allow visitors to publish videos in other systems, you can allow the embed code to be copied with this option.
Specific settings for Play Portals:

Allow embedding of films from the portal: With this option checked, the visitor to the Media Portal can choose to retrieve an embed link by right-clicking on the film in the portal. The user can choose between Javascript and iFrame and choose the point in time from which the film should start playing.

Allow sharing of content to social media: With this option ticked, visitors to the Media Portal can share the videos directly on social media.
Settings for metadata
You can control which metadata fields in your Mediaflow account you want to display in your Media Portal. You can select both Mediaflow standard fields (such as name and description, which are always available) and those you created yourself.

The left column shows fields that exist in Mediaflow and have not been selected to be displayed in the portal.

The right column shows fields that are displayed in the portal, in the order you want them to be displayed.
You can drag from left to right to switch these fields on and off, but you can also change the order of active fields so that specific fields are displayed at the top of the list, in the portal.
Drag fields from the left column to the right to display them on the media portal. You can also drag fields to the left column to hide them in the portal. This affects the visibility of different types of metadata the user marks a file with, in the media portal.
Settings for Security and Media Portal users
Under the Security tab, you can add authorised IP numbers from which visitors gain access automatically without having to log in. Furthermore, you can enable password protection for your portal by ticking "Password protect portal" and clicking "Add". You can now add multiple Media Portal users. In this step, you select which portal or portals (if you have several) the Media Portal user should gain access to.
Mediaflow users and Media Portal users are two separate logins that do not affect each other in any way.
If you already have a Media Portal, its registered Media Portal users will also appear in the list when you click on "Add". Now you can choose to create a new login by clicking on "New user".
It is possible to create a Media Portal user/login that several people can share. This means that you can, for example, have one login per department, etc., instead of creating a login for each individual.
