With Smart Folders, you can save searches you run frequently without creating duplicates or moving files from their original locations.
Smart Folders are based on Mediaflow's advanced search, which finds files based on the criteria you specify, such as keywords, file format, photographer, color marking, image orientation, or rating. Smart Folders are advanced searches saved as folders for easy access whenever you want.
You set the search criteria once and save them as a Smart Folder. From then on, Mediaflow automatically keeps the folder up to date, and all users can see the files they have permission to view. When a new file meets the criteria you set, it automatically appears in the folder without any action on your part.
Note:To save and make settings in a Smart Folder, you need to be a Pro user in Mediaflow.
Examples of how you can use Smart Folders
- Gather all campaign-related materials by creating a dedicated folder. All uploaded files will be accessible from a single central location.
- Filter out images that have already been used on your website or in printed materials. Or find images of a person that have already been used elsewhere.
- Collect files from multiple photographers in one place and track when each photographer delivers new files.
- Automatically find images in specific formats, in specific colors, or all portrait images in a certain style.
- Gather unprocessed and unapproved material for review.
- Monitor and oversee files, e.g., all files missing alt text or consents.
Create a Smart Folder
1. Expand the advanced search and specify the parameters for your search. You can enter keywords, file formats, and various filters for your search.
2. After receiving a search result, click on New Smart Folder to create your folder.
3. Name the folder and specify where in the folder structure it should be located.
Now, all new files uploaded to your account that meet the criteria you have specified will appear in your folder. If you want to adjust your settings, you can do so under the Settings tab in the right panel.
Once you have created a Smart Folder, you can manage it like any other folder in Mediaflow and control which user groups have access to it. You can also create folders for yourself and place them under your private file area.
Note:Smart Folders cannot be published to a portal.
