In Mediaflow’s DAM, you can store all types of files that you collaborate on and then share them with colleagues and external stakeholders. How a file can be used and published depends on its licensing rights. In Mediaflow, media file licensing rights can be managed to ensure correct usage and compliance with copyright regulations.
Under the License tab, you can specify the licensing rights for your files and provide more descriptive information about how they apply in your workflows.
Full Rights (Purchased /redeemed)
This status can be used for files that you either own or have purchased with full usage rights.
Free to Publish but Not for Distribution to Third-Parties
This status applies to files that you are allowed to publish but cannot distribute to a third party.
Creative Commons License
A Creative Commons (CC) license is a standardized license that allows creators to share their work with others under predefined conditions. There are different types of CC licenses that specify how a work can be used, such as:
-
Whether attribution (credit) is required,
-
If commercial use is allowed, and
-
If modifications are permitted or if the work must be shared under the same license terms.
Public Domain Mark (PDM)
Limited Rights
This status is used for files that have an expiration date—either due to contractual agreements or internal organizational policies. When an expiration date is set, users may receive a warning or be denied from downloading the file. This applies across media portals and CMS integrations.
Rights Don’t Exist – Check-Up Is Needed
This status is considered temporary and should not be used over an extended period.
Until the proper usage rights are confirmed, you may also want to specify a contact person in case someone needs to request permission to use the file. Like other metadata fields, licensing rights metadata can be displayed in your media portal, CMS integration, and plugins for Pro users.
Shortcut: Licensing Rights Management
You can easily sort files based on licensing rights using the Licensing Rights shortcut folder. This allows you to quickly find files where rights are about to expire, so you can either extend the license or remove the files from Mediaflow.
In these cases, it is also beneficial to track where the files have been used so you can remove them from all instances if necessary.
Pro users can clearly see on the dashboard if any files have licenses that are about to expire.
