With Omnia's integration with Mediaflow, creating engaging and visually appealing communication becomes easier than ever.
Omnia is an intranet platform built on Microsoft 365. It is used to support internal communication, collaboration, and knowledge sharing within organisations. The solution offers features to customise the user experience, manage content and statistics, as well as create support for onboarding, training, and engagement. Omnia can also be used to structure processes, manage documents, and gather functions for different parts of the digital workplace.
Opportunities with Mediaflow's integration
Omnia's integration with Mediaflow allows the user to:
- Import images from Mediaflow for use in Omnia.
- Ensure compliance with GDPR guidelines by applying settings in Mediaflow to prevent importing images that do not meet your GDPR standards.
The integration is a collaboration between Omnia and Mediaflow

Import images from Mediaflow
To access images in Omnia's integration with Mediaflow, you must first share selected folders in Mediaflow with Omnia. We have a guide on how to share folders and what you should consider here.
The integration with Mediaflow lets you insert images and media in various places on your Omnia site. In the following example we will insert an image in a news article:
- Choose to create a new news article.
- Give the article a title. If you wish to change the URL, you can do so at this stage.
- Click Add Media.
- Select Mediaflow from your list of media providers.
- Choose the image you want to insert and click Use this file.
- Enter an alt text, or let AI generate one for you, and click Use this file again. You are not required to enter an alt text, but it is recommended.
- If the file exceeds Omnia’s recommended size, you will be prompted to either use the original or scale the image down to a smaller size.
- You’ll have the option to crop the image to better suit Omnia’s system. You can also add an Image caption.
- The image is now inserted. Complete the rest of the article, optionally add more media, and click Publish to publish the article.
Images and videoJust as you insert images in Omnia, you can also insert videos from Mediaflow. Unlike images, which are downloaded into Omnia’s file structure, videos are embedded via JavaScript or an iframe. We recommend embedding via JavaScript.
Connect Mediaflow with Omnia
To enable the connection between Mediaflow and Omnia, you must first contact Mediaflow Support and request the keys required for integration. You will receive two keys: a Client ID and a Client Secret. You will also need a Refresh Token, which you can find under your integration settings in Mediaflow.
- Click the three-dot menu in the top right corner of Omnia and select Omnia admin.
- Select Settings, expand Mediaflow under Media Providers, and click Activate.
- Then click Permissions, then Secret, and finally Mediaflow to reveal three fields labelled Client ID, Client Secret, and Refresh Token. Enter the Client Id and Client Secret provided by Mediaflow Support.
- You will find the Refresh token in Mediaflow, under Settings > Integrations > Omnia. Copy it and paste it into the Refresh Token field in Omnia.
- Click Save.
- The folders that you have shared with Omnia via the integration will now be visible in Omnia when you start working with your content.
