What is Metadata?
Metadata is the information linked to your files in Mediaflow. It is used to improve searchability and efficient file management, which is particularly valuable in areas such as archives, digital media, and websites. In Mediaflow, metadata serves two main purposes: making files easy to search for and find, and ensuring that important information regarding the files is accessible to those who need it. In short, metadata helps you create a well-organised and searchable media library that supports your workflows.
Standard metadata fields that are already embedded in files are automatically included when uploading them to Mediaflow. In addition to these, you can add and enrich files with additional metadata relevant to your organisation. The process of adding metadata is often referred to as indexing and tagging.
Beyond being available to users in Mediaflow, metadata is also retained when files are shared in various ways, ensuring that all users have access to essential information. If you have a media portal, you can choose which metadata fields are displayed for your files. Metadata can also be included in web shares. Additionally, metadata is included with our available integrations, such as WordPress and SiteVision, as well as in plugins for pro users, like InDesign, ensuring that all necessary information is readily available.
Metadata Fields
Mediaflow includes fields for commonly used metadata, such as Name, Description, Photographer, Important Instructions, etc. You can choose which fields are most relevant to focus on. Additionally, there is the option to create custom metadata fields.
Keywords
A crucial aspect of metadata is the use of keywords. Applying keywords in Mediaflow is quick and easy thanks to AI-generated suggestions. There are also options for automatic keyword indexing.
Licensing Rights
Another important part of metadata is defining licensing rights, which specify how a file can be used and published.
Search Function in Mediaflow
The more information your files contain, the easier they are to find. Mediaflow’s search function is located at the top of the interface, allowing you to quickly search for files from anywhere within the platform.
Tracking File Usage
In some situations, it is necessary to monitor where and for how long your files are being used, for example, when there are agreements related to GDPR or licensing rights. In Mediaflow, you can track file usage to ensure full transparency.
GDPR Module
With Mediaflow’s GDPR module, you can manage personal data, consents, and other agreements easily and securely. This information is stored with the files in the same way as other metadata. Integration with media portals and CMS platforms ensures that files can be automatically hidden from your websites and media portal when consents or agreements expire.
Transferring Metadata from a Previous Media Library
Some metadata is stored in media library databases rather than being embedded directly in files. If you need to transfer important information from a previous media library, Mediaflow can help enrich your files with metadata from that system.
