You can create a web share from an entire folder, individual files, or a selection of files. Whichever of these options you choose, you will be taken to the same dialogue to customise the settings for the web share.
Customise your web share
In the first view, the General tab, you choose the type of web share you want to create based on the purpose the web share should fulfil. Often it is a delivery of files, i.e. you want to share or to have the possibility to receive files [File delivery]. But you can also choose to let the recipient help approve [Review] or select files by ticking different options [Selection]. When you select the type of web share you want, the choices of the other fields are adapted. You choose the name of the web share, whether you want an end date for it, who should be able to manage it, etc. If you have created a web share from a folder or a selection, it is preset that these are automatically updated if you add or delete files in the selection/folder. The settings on this tab are sufficient to quickly create a web share, alternatively you can make more customisations under the other tabs.
Appearance
If you want to customise the appearance of the web link, you do so under the Appearance tab. Here you can choose the dark or light mode of the web link and whether to add any customised information, display metadata, contact information and previous versions of the files.
Security
Web shares are initially open links, i.e. any one can access the files if you click on the link. If you want to restrict access, you can do so under the Security tab, where you can add passwords to access the files, or passwords to download.
Invitation
Under the last tab Invitations, you can email the web share directly from Mediaflow to one or more recipients. To keep track of who you have sent the web share to, you will be able to go back to these settings from the web share list and see the Invitation history. Here you can also choose the language of the web share and add any message to the email invitation. Please note that in some cases the email sent with the web share may get caught in spam filters, depending on how strict the recipient's spam filter is set. When you are done with the settings, click to Create Web Share.
A confirmation will appear in the left corner and from there you can either copy the web link (to share it for example in an email conversation) or visit it as a recipient.
Administrate web shares
In the main menu, all web shares are gathered in a list under the Shared tab. Which web shares you can see depends on which user groups you belong to. When a web share is created, you choose which groups in Mediaflow should be able to see and manage it. The list gives you an overview of which folders the web shares apply to, how many files they contain, what is allowed to be done and when the recipient last visited them. You can open the web share and view, for example, any comments and also change the settings for it afterwards. From the list, you can select one or more web shares to delete or duplicate.
