There are three different types of users in Mediaflow:
-
Basic users do not have access to settings (the gear icon) and therefore cannot manage users, groups, or similar settings in Mediaflow.
-
Pro users have access to settings and can configure options such as users, groups, GDPR and video. Pro users also have access to Pro user plugins.
-
A Pro user can also be upgraded to Superadmin, gaining access to Superadmin mode. This mode is activated when needed and temporarily overrides all permissions and restrictions in the system. If you are a Superadmin, you can activate this mode by going to your profile.
Add a New User
To add users, you must be a Pro or Superadmin user.
There are three different ways to add new users. You can either manually create the user and choose a password yourself or send an invitation via email with a link, allowing the recipient to set their password. Under Settings, select the Users option. Under New User, choose either Invite User or Create User.
Another option is to create new users via your AD/SSO (Active Directory/Single Sign-On).
Invite a user
The easiest way to add a user is by sending an invitation directly from Mediaflow.
-
Under New User, click Invite User.
-
Fill in the email address, message, user type, interface language, and (optional) expiration date for the invitation.
-
Add the user to a user group.
-
Set default values: You can configure uploaded files to always be tagged with specific attributes, such as a name, color label, keywords, or important usage instructions.
Create a user
If you create a user manually, you must provide login credentials separately, for example, via email. When the new user logs in for the first time, they can click on their name in the upper right corner to access My Profile and update their information or set a new password.
-
Under New User, click Create User.
-
Fill in name, username, email address, (optional) message, user type, interface language, and (optional) expiration date.
-
Choose a password for the user (Avoid Swedish characters Å, Ä, and Ö, as they may prevent login via the Mediaflow mobile app).
-
Add the user to a user group.
-
Enter relevant contact information.
-
Set default values: You can configure uploaded files to always be tagged with specific attributes, such as a name, color label, keywords, or important usage instructions.
-
If Mediaflow is integrated with other systems, you can specify a username that appears when the user uploads files via an integration.
Manage Users and Invitations
Once you have created a user or when a user has received their invitation and set their password, they will appear in the list under Users. You can click on each user to modify their settings, for example, to change their user type from Basic to Pro. From the list, you can also log in as the selected user. If you want to delete users or send a password reset link, you can select multiple users at once.
