Design templates are smart and useful layout solutions tailored to your company’s graphic profile and brand. Whether you're working on posters, brochures, or other marketing materials, they ensure that all your visual content remains consistent and professional. Each design template is developed in collaboration with your organization, based on your specific preferences and needs.
Just like other files in Mediaflow, design templates can easily be published in a Brand Portal and made available to your organization.
A Working with Design Templates in a Brand Portal
There are several ways to work with design templates in a Brand Portal to optimize your workflows. To simplify proofreading and collaboration, working versions—so-called design documents—of the templates can be saved and easily shared with colleagues.
To edit a design template, click Use Template. You can then easily add text and images either directly in the template or via the right-hand panel. From there, you can download an original file, save your design document, and share it to request proofreading or feedback.
Saving your Design Document
As soon as you make a change in a design template, the Save button will become active, allowing you to save your design document. A unique link is generated, making it easy to return to your design later.
ℹ️ Important: Save the Link!
The link to the design document is the only way to access it for further editing. It is therefore important to save it!
You can save the link by copying and pasting it into a text editor or bookmarking it in your browser. Alternatively, you can choose to have the link sent to you by email when it is created. Emails from the Design Generator are sent from the address: noreply@mediaflowpro.net.
It’s also good to know that the link is shown in the bottom right corner of the interface, where you’ll find tools for managing design documents. When a user clicks the link, it is automatically copied.
There is also a version history, allowing you to review past changes or revert to a specific draft of a previously saved design document. Every time a change is made, the Save button will light up, and a new draft can be created. You can open previous drafts by clicking Open. When opening an earlier version, you can always return to more recent drafts. The list updates each time it’s viewed—no need to refresh your browser.
ℹ️ Always Save Your Changes
We recommend saving your changes so you can return to your design document later. If you close the browser window without saving, your changes will be lost.
Copying a Design Document
If you want to create a copy and start a new design document, click New Link. The new document will be completely separate from the original and will not include its usage history.
Deleting a Design Document
To delete a design document, click Delete Link. This means the document will no longer be accessible to anyone who has received the link. You will be asked to confirm this action.
Sharing a Design Document
It's easy to share a design document with someone else for reviewing or editing. Click the Share button and enter their email address and your contact details. You can also add a personal message in the comments field.

ℹ️ Important - When Sharing a Design Document
Anyone with access to the design document can edit it, view its usage history, create new copies, and even delete it. All users with access to the link can open the design document—even if your media portal is SSO- or IP-restricted.
Download a PDF or Image
Once you’ve opened and finished editing a design template, you can download the final version as a PDF or image file. The available file types are programmed into each individual template and may vary.
