How does Mediaflow's GDPR module work?
With Mediaflow's GDPR module, you can manage personal data, consent, and other agreements securely. Everything becomes searchable in an index of persons, allowing you to easily review which files are affected if consent is withdrawn. If you have Mediaflow's facial detection activated, the system can suggest individuals found in images. You can also obtain consent digitally via SMS and email, where the recipient swiftly signs the agreement using Swedish BankID or a verification code. The connection to Media Portals and CMS integrations ensures that files are automatically hidden on your website and in a portal when consents or other agreements expire.
Manage persons and agreements
To ensure you know which people appear in your files, you must first tag them in the files and connect a consent form to them. In Mediaflow, you handle files containing personal data in three steps:

Specify the legal basis

Tag the individuals whose personal data is included in the file

Link a consent to the file (This step is not needed if you have chosen a legal basis other than consent.)
Once you have completed these three steps, the file is correctly handled according to GDPR and can be used. This way, you can be confident that you are complying with legal requirements.
Obtaining digital consent
In Mediaflow, you can send a digital request to sign a consent form or other agreement via SMS or email. This way, you avoid handling paper agreements that are not searchable. You can create your own templates for how your agreements should be formatted and allow the recipient to sign the agreement using either a Swedish BankID or a verification code.
Index of persons
In the index of persons, all individuals you have tagged in files and the agreements linked to them are listed. You can retrieve more information about individuals, their agreements, and the files in which they appear. In the index, you can also edit, add, and remove agreements. The search box in the index allows you to filter and search for individuals easily. For example, you can filter by all individuals from whom you lack consent - or files where you are awaiting approved consent.
Settings for the GDPR module
You can customise the GDPR module to suit your organisation’s workflows. Under settings, you can hide files in Media Portals and integrations when they are not managed in accordance with the GDPR. You can choose whether you want to have more fields in your Index of persons and you can add your own agreements for obtaining digital consent.
