To optimise the use of your plugin/integration, your files and the correct settings for them need to be in place in Mediaflow. Follow the steps below to ensure you don’t miss any important aspects.
1. Upload the files to Mediaflow
The files need to be in your folder structure in Mediaflow to be accessible in your system. There are several ways to upload files to Mediaflow, depending on what best suits your workflows.
2. Enrich the files with important metadata
To improve searchability and streamline workflows, enrich your files with the information that is relevant to you, such as keywords, alt texts, license rights, and photographer details. The ability to include essential metadata for the files is one of the major advantages of having a plugin/integration.
3. Ensure the files comply with GDPR
With the GDPR module add-on, you can easily ensure GDPR compliance for your material by specifying legal basis for storage or collecting and saving consents and other agreements. We also recommend setting up the system so that images that do not meet GDPR requirements are not displayed in the integration. This way, files that are not GDPR-compliant won’t be visible even if they are uploaded in folders made available in the plugin/integration.
4. Create preset formats
With Download presets, you get the correct number of pixels, compression, and color profile when you insert images into your system. (Note: This function does not apply to the Microsoft Office plugin) This saves valuable time for your editors, who won't need to use other programs to adjust the images correctly. Don’t forget to check that the download format is visible to the Web Editors group in the settings when you create the format.

Due to Microsoft Office limitations with insertion, download presets cannot be used for this plugin.
5. Adapt your videos for accessibility and branding
Work more professionally with your videos using the Video Manager add-on. You have the option to customise them according to your brand identity with custom player themes and playlists, as well as add audio and video tracks for accessibility. The player’s options are adapted based on the tracks and settings you’ve applied to the video.
6. Choose which files should be accessible in your system
Files in Mediaflow are shared by folder through the plugin/integration. To make a specific folder available in your system, select the Web Editors group under the Access tab for the folder. This way, you can easily activate or deactivate different folders in the system.
