This guide explains how to export media files and metadata from Imagevault using the ExcelMediaImporter tool, and how to prepare the export for import into Mediaflow.
Overview
The ExcelMediaImporter tool exports:
- All media files (originals)
- All associated metadata
- An Excel file containing file information and metadata
There are two supported export methods:
Option 1: Export to local disk (two-step process)
Export files and metadata to your local hard drive Upload the exported content to Mediaflow using an FTP client
Option 2: Export directly to FTP/SFTP (recommended)
Use a newer version of the tool that supports direct upload to an FTP/SFTP server.
Files are uploaded directly to Mediaflow during export, without storing them locally

Before running the export, make sure you have:
- Access to Imagevault
- An Imagevault SDK key (more information below)
- FTPS credentials (if exporting directly to Mediaflow)
Configure export settings
Select the correct preset. This preset ensures that all files are placed side-by-side in the upload folder File names are prefixed with the Imagevault media ID (required for Mediaflow).
- Open ExcelMediaImporter
- Select the preset MediaFlow
Configure FTP export (direct upload)
- If you are exporting directly to Mediaflow via FTPS, enter the full FTP/SFTP URL, including protocol in the Export to field. This information has been sent to you from Mediaflow earlier in the process.
Example:
ftp://ftp11.mediaflowpro.com/Import from Imagevault
2. Start the export
3. When prompted, enter your FTP credentials
Once authenticated, the FTP server will be used as the storage location instead of your local disk.
Recommended export workflow (best practice)
💡 Tip: Start with metadata only
- Run an export without downloading media files
- Rename the resulting Excel file to something like:
xxx_all.xlsx
This gives you a complete metadata overview quickly and acts as a backup if something goes wrong later.
Export media files in batches (if needed)
Media files can be downloaded paginated.
Each run creates a new Excel file.
These files can safely be overwritten, since you already have a complete Excel file from the first run.
Imagevault SDK key
To connect to Imagevault, the tool requires an SDK key.
What is an SDK key?
- Consists of an identity and password
- The identity is always:
iv4sdk
If you don’t have the SDK key
Many customers misplace it Contact support@papirfly.com to retrieve existing credentials
Alternative: generate a new SDK key
- Possible directly in Imagevault
- Requires an Imagevault administrator account
